A message from the President of AboutTime Technologies

In The AboutTimes Quarterly Newsletter David Moyer, President of AboutTime Technologies, wrote the following:

December 3rd is a great day.   Throughout history, many important events have happened on Dec 3.  For example, In 1828 Andrew Jackson was elected as the 7th US President.  In 1956, Wilt Chamberlin played his first college game and scored 52 points.  Even more impressive, on December 3, 1967 the first heart transplant was performed and on Dec 3, 1989 Soviet President Mikhail Gorbachev, and US President George Bush declared that the Cold War was over.  All of those are great events and make December 3rd a great day.

For me, December 3rd is a great day for a far simpler reason.  On December 3rd, 2012  I joined the team at AboutTime Technologies. Though not as significant to the world as  performing the first heart transplant, to me it signifies one of the best decisions I have ever made.
Most of my career has been spent with Multi-billion dollar companies such as Sage and Trimble. When I joined the much smaller AboutTime Technologies, many of my peers questioned the move. My peers did not see what I saw.

I saw a company with great potential… a company with the ability to solve critical problems  and help companies save thousands of dollars. I saw a team of individuals who were passionate about helping people. I saw a company that I wanted to be a part of.

Fast-forward one year… AboutTime has grown by 82%. That growth has given us the opportunity to significantly reinvest in our products and our people. I am excited to say that we are now rolling out version 4.6 which has many high-value enhancements and new features. We have added new development and QA staff so that we can provide quality features to the marketplace more quickly. As well, we have increased the size of our support and implementation department in order to service our customers better. We don't plan to stop there. We will continue to grow.   We will continue to invest.   We will strive to be the best we can be every day. We know that our customers rely on our solutions, and that is what drives us to do what we do. That is why I joined the AboutTime Team on December 3rd, 2012.

Thank you so much for a great 2013. I am looking forward to what we can do together in 2014.

From all of us at AboutTime Technologies, we wish you a Happy New Year!

Prove It! Benefits of GPS

I wrote, in a past blog post, about the ethics involved in using GPS tracking with your employees.  You can read the post  here

The question of ethics comes into play when employees feel like “Big Brother” is watching.  However, the benefits of using GPS tracking go far beyond the notion of time theft.  In fact, there are many benefits for employees as well as businesses.  I will discuss them in this post and future posts.

Have you ever had this happen?

Customer:  Wow!  This bill is huge!  I know we had you move that wall 3 times, but I can’t

believe it took this many hours.

You: Well I had 3 guys here for 2 days full time.

Customer:  Prove it!

HOLD ON!  How do you “prove it?”  Show them scribbles on time cards?   Showing upset clients time cards can give you the upper hand in a negotiation, however it’s just writing on paper,  you will probably have to give up a few hours to keep your customer happy.

Is there a better way to handle billing questions like this?  Is there a way that leaves little room for questioning or negotiation? Wouldn’t it be even more convincing if you could actually “Prove it?”

Situations like this are where GPS and GEOFence Tracking are most beneficial.  Imagine showing your customers that your employees were actually on the job-site, working hard.  Let's try this scenario to show what this same situation is like when using a mobile resource management system that incorporates GPS Tracking as a feature.

Customer:    Wow!  This bill is huge!  I know we had you move that wall 3 times but I can’t believe it took this many hours.

You: (Looking at your iPad) Well, you can see here that John, Jose, and Larry  were on your job-site from 8am to 11:30am.  Then they took a half hour lunch. But, you can see they clocked back into your jobsite at 12:05pm and worked until 5:00pm.   So the bill is accurate.  Unfortunately, it can be very costly to make these types of changes.

Time records showing GPS coordinates, proving your employees were on the job-site when they clocked IN and OUT, are invaluable when trying to resolve a billing dispute.  As the old adage says “don’t bring a knife to a gun fight." When it comes to billing disputes make sure you bring GPS tracking to the discussion and eliminate the fight.

Time 4 Fun #3

It's Monday!  Time to start another productive week.  As promised here is another joke to make your Monday brighter.  Enjoy!

A school band was having problems with after and before school rehearsal attendance. Several students were absent each time. In fact, every student had missed at least a couple rehearsals, except for a diligent oboe player. The conductor decided to congratulate the oboe player for such faithful attendance, so at the dress rehearsal, he said to her, "Thank you for being on time to every rehearsal, unlike these other layabouts."

The girl responded, "It's the least I could do, since I can't be at the performances."

Time 4 Fun! (2)

Happy Monday!  We hope everyone had a great weekend.  As promised.. a little something to start your work week off with a smile.

Enjoy!

A receptionist who was being paid by the week approached her employer and held up her last paycheck. "This is two hundred dollars less than we agreed on," she said.

"I know," the employer said. "But last week I overpaid you two hundred dollars, and you never complained."

"Well, I don't mind an occasional mistake," the receptionist answered, "but when it gets to be a habit, I feel I have to call it to your attention."

Have a safe and productive day!

Is using GPS to track your employees ethical?

A customer called the other day completely flustered over a situation with one of her employees.  The employee had refused to enable GPS tracking on their iPhone stating that it was a "violation of their civil liberties."  Understanding that allowing a company to track your movements, from a personal device, could be disconcerting to some people, the customer bought a company iPad for the employee.  The employee still refused to allow GPS tracking. This time exclaiming that it was "unethical to track a person."   Needless to say, our customer was at a loss.  She wanted to know first if it was a violation of civil rights.   Secondly, was there some validity to his claim or did he just not want to be tracked?

Hmmmm…. An Interesting Question….

Time 4 Fun!

We hope everyone enjoyed their Thanksgiving weekend.   Time spent with family, friends and lots of food is time well spent.

The first day back after a long weekend is always a busy work day.  So today enjoy a short-N-sweet post to brighten up your work week.

A construction worker dies in a fishing accident on his 40th birthday.  He finds himself greeted at the Pearly Gates by a brass band.  Saint Peter rushes over and shakes his hand, exclaiming proudly “CONGRATULATIONS!!!”

“Congratulations for what?” asks the construction worker.

Saint Peter says, “We are celebrating the fact that you lived to be 160 years old.”

The construction worker responds, “but that’s not true, I only lived to be forty.”

“That’s impossible," says Saint Peter. .  .”we added up your time sheets!!!”

Choosing the Best Mobile Data Collection Software Solution

This post should really be titled, what makes the best mobile field data collection software for your business?  What features do you need to run your business more efficiently? Some software programs collect time and attendance; others collect forms, while some attach pictures and notes to files.  Before we get started answering that question, it is important to take a look at what your business needs are and then find a system that will be a complete solution and not just a partial answer.  The solution should not only collect information, but manage, document, and integrate the information as well.

Collect

Collecting data from the field shouldn’t be a chore.  The software you choose needs to be simple to understand and easy to use.  Systems using new technologies such as smartphones, laptops and tablets have made tracking time and attendance relatively easy.   Employees can clock in and out, choose tasks, and even job hop using these devices.   A good system will have security, such as biometric readers or pin code entry, that help to eliminate “time theft” and “buddy punching.”

Using new technologies makes collecting all types of field data simple.    What type of information does your business need to see in order to make decisions?  Do you need to collect information on equipment?  Weather conditions?  Safety forms and paperwork? Can the software you are looking for do that?

Track

Tracking your mobile workforce is a priority to many businesses.  Knowing your workforce is on the correct job site and doing the correct tasks makes managing a project successful.   Does the software have GPS tracking available to show you where your employees are at when they clock in and out? Is there a way to track what task they are working on during the day?  Can the software track how much of the task was completed?

This type of information is powerful and is needed to make critical decisions.  Knowing your employees are at work, on the correct job-site, and behind schedule lets you make adjustments before small issues become big problems.

Document

Documenting accurately is your best defense against job site liability claims.  Providing paperwork, notes and pictures showing conditions are safe, and hours are accurate can save your business money.   Lawsuits, false injury claims, angry customers and excessive payroll can all cost your business money.  Make sure that the software solution you choose can capture and organize all of the important information you need to keep your business safe.

Manage

Managing mobile field data is a huge job. With multiple projects, the information can be overwhelming.  Finding a software solution with great reporting tools can make this daunting task achievable.

Managing a project On-Demand may be the single most important aspect of a mobile data collection software solution.  Having the ability to look at a job and know exactly where it stands.  Comparing labor budgets against hours worked lets you know immediately if you are behind or ahead of schedule.  Making adjustments to a task the moment a discrepancy is noticed, instead of at the end of the week, could be the difference between making money or losing money.

Integrate

What good does it do to have all this amazing information if it can’t be integrated with your accounting or job-costing software?  The whole point is to do away with the countless hours of data entry and filing while providing real-time information to decision makers.  Finding a mobile data collection software solution that integrates with your accounting or job-costing software should be a top priority.

Three Ways Automating field data collection keeps your business a step ahead of your competition

In today's tough marketplace, information is the key to success.  Accurately tracking what is taking place on every job sites at all times can seem like a daunting and almost impossible task.  By automating your field data collection process, you can keep your business a step ahead of the competition.  Using technology to collect data,  document all aspects of the job, and Monitor projects in Real-Time are just 3 ways a data collection software can help  to stay ahead of your competition resulting in success for your business.

1. Using new technology to collect data

Does this sound familiar?  Every week accounting collects mounds of paper time cards, half of which are unreadable and inaccurate.  Then, they spend days fixing mistakes and entering the data.   On the side of the office manager’s desk is a stack of forms, pictures, sticky notes and more that need to be filled with different projects.  I am sure they will get to that at some point.  It’s all important information.

The task can seem daunting without using smart devices.  Collecting time and attendance on paper and then faxing it into the office takes hundreds of man-hours for filing and data entry.   That is one of the reasons companies who automate their time and attendance system see a 2%-4% higher ROI on a project than companies who don’t.

Using smart devices automates the collection and delivery process giving you accurate, detailed, Real-Time data your foreman can use to make important decisions. Mobile devices keep getting smarter and more convenient.  Smartphones, tablets and laptops come equipped with all the tools needed to collect accurate data and deliver it to the office.

Employees can clock in and out on the job site.  Advancements in GPS Tracking and biometrics eliminates “time theft” and “buddy punching.” Businesses are saving substantial sums of money while increasing productivity.   Documenting important aspects of a project is simple with pictures that include GPS information and are automatically attached to customer documents.   Forms can be filled out in the field and sent directly to the office doing away with lost or inaccurate paperwork.

2. Documenting all aspects of a project

Using an automated system helps you to document and organize important information from each job site.  It can help to handle “hot issues” on current projects.

Let’s say a customer wants to move a wall.  Using an automated system, the Foreman can pull up a change order form on his phone,  fill out the form, and even have the customer sign the PO.  Pictures can be taken of the wall so there is no disagreement about where it should end up.  Tasks can be assigned to employees to begin the project.  All of the information is sent, at the push of a button, to your accounting system.  Now, let's say the same customer comes back at the end of the job and asks "why was I charged extra for a wall move?"  The same foreman can download the records to his laptop and show the customer all the paperwork.  The customer is satisfied and you get paid!

Detailed documentation can help when estimating future projects as well.  Decision makers can look at past projects to see where the money was spent, how quickly crews completed projects, and if there was anything unusual, such as bad weather, that slowed the project down.  Having a clear picture of past projects makes estimating future
projects more accurate.

3.  Monitoring Projects in Real Time

The problem with collecting data the “old-fashioned way” is without accurate spreadsheets and someone manually entering the information into your system, it is hard to see where you stand on current projects.   Making critical decisions with accurate data becomes nearly impossible.  Why? Because the data is most likely not up to date.   Using mobile data collection software that integrates with payroll or job costing systems does away with these challenges.

With On-Demand delivery options, administrators can see immediately what is happening on specific jobs in the field.   Is a job over budget?  Have they exceeded the amount of budgeted man-hours?  Did inclement weather cause damage to a project?  Was an employee injured on the job?   With this information managers can make important decisions to resolve small issues before they become big problems.

Now comes the tough part.  Choosing a mobile data collection software that works best for your business.
